Why watermark PDF files?
Watermarks serve multiple purposes:
- Document status: Mark drafts as "DRAFT" or "FOR REVIEW"
- Confidentiality: Add "CONFIDENTIAL" to sensitive documents
- Copyright protection: Add company name to protect intellectual property
- Sample documents: Mark previews as "SAMPLE" before payment
- Version control: Mark document versions clearly
Common watermark text
| Text | Use case |
|---|---|
| CONFIDENTIAL | Sensitive business documents |
| DRAFT | Documents under review |
| SAMPLE | Preview documents |
| VOID | Cancelled contracts |
| APPROVED | Signed-off documents |
| DO NOT COPY | Anti-piracy |
Opacity guidelines
- 10–20% opacity: Subtle background watermark, won't interfere with reading
- 30–40% opacity: Visible but not distracting (most common)
- 50%+ opacity: Very prominent, use for VOID or SAMPLE documents
Text vs image watermarks
Text watermarks are ideal for status labels (DRAFT, CONFIDENTIAL) and are always crisp at any size.
Image watermarks are ideal for company logos and brand marks. Upload a PNG with a transparent background for best results.
